Please note:

  1. Bookings are permitted up to 18 months in advance.

Cancellations by the hirer due to non-weather related reasons need to be made in writing and an administration fee equivalent to 1 hour hire will be charged. 

If you serve alcohol and/or catering on site, an additional fee will apply (please advise the Trust). Barbecues are NOT permitted in the Domain. Hot water, oil, fat, ice, or dry ice must not be tipped on the grass. Provision must be made for correct disposal. 

The area used for your game is not to be damaged and MUST be left clean and tidy. Your presence on site indicates that you accept liability for any damage to property caused by your party. All litter must be removed or placed in bins provided.

Electronic check-in is mandatory

The garden has Service NSW COVID Safe Check-in  QR codes placed at all bookable venue hire spaces.
You as the event organiser and venue hirer are the responsible person and must ensure that you and all your guests, suppliers and contractors check in.

To streamline the check-in process we recommend that all guests and suppliers download the Service NSW application on your phone prior to arriving on site.

Who must develop the COVID-19 Safety Plan

The responsible person is the person organising the event i.e. wedding/reception, memorial, corporate event, picnic or other venue hire.  

The responsible person must develop and comply with a COVID-19 Safety Plan that addresses the safety measures in the checklist.  

COVID-19 Safety Plans and registration are mandatory for weddings

Under the NSW Public Health Orders all wedding services and gatherings after wedding services must have a COVID-19 Safety Plan.

All wedding services and gatherings after wedding services must register as COVID Safe.

Prepare and complete the plan in consultation with garden staff, and provide the garden with a copy.

Keep your plan up to date

You may need to update the plan in the future, as restrictions and orders change.
It is your responsibility to have an up-to-date plan at all times and to show it to an authorised officer if requested.

Hirers must supply their own sporting equipment. No pegging or staking is permitted and all equipment must be weighted.

The Trust does not provide exclusive use of the Royal Botanic Garden and Domain. As a site hirer, you should be aware that other non-related activities may be occurring around your booked area. 

The site you have chosen for your game cannot be closed off to the general public. 

Payment can be made by credit card (Visa or Mastercard) or direct transfer. An invoice and confirmation of your booking will be sent to you on receipt of your application. 

All regulations under the Royal Botanic Garden and Domain Trust Act 1980 governing the use of the Royal Botanic Garden and the Domain must be observed. Please do not stand in garden beds or climb structures within the Royal Botanic Garden or Domain. 

Do not alter, add or affix any item, sign or poster within the Trust Lands. Items must not be attached to trees, buildings or other fixed structures. 

Public address systems are NOT permitted in the Royal Botanic Garden or Domain. 

Directions from Trust staff must be observed at all times. If you have any difficulties on site, please call the ranger on duty on mobile 0419 270 279. 

On site parking is NOT permitted. Public metered parking is available along Mrs Macquaries Road, Hospital Road and in the Domain and Sydney Hospital parking stations.

In the event of adverse weather conditions the Trust will decide on the availability (closure or otherwise) of the fields. The decision to close the fields will be made on the day of play and it is the hirer’s responsibility to seek confirmation on the availability of the fields by contacting Reception on 02 9231 8111.

If a booking is cancelled by the Trust due to wet playing fields an alternative date will be offered. This replacement date must be taken within 6 weeks of the cancellation date otherwise the booking and funds will be forfeited.

If you have made a seasonal booking, you should ensure your season includes provision of wet weather days. There is no fee refund for wet weather days.
